This Privacy Statement aims to inform you, as a trainee or job applicant, how VYNOVA Belgium N.V. processes the personal data you provide to VYNOVA Belgium N.V.

VYNOVA Belgium N.V. attaches the utmost importance to the privacy of interns or job applicants who provide personal data to VYNOVA Belgium N.V.. VYNOVA uses the personal data provided to it by the intern/applicant only for the purposes described in this privacy statement, taking appropriate technical and organisational measures that allow VYNOVA Belgium N.V. to operate within the applicable regulations on the protection of personal data.

What personal data?

As necessary information VYNOVA Belgium N.V. considers all of the following:

  • Surname and first name
  • Gender
  • Date and place of birth
  • Address
  • Telephone number
  • E-mail address
  • Bank account number
  • Details of the position or internship for which you are applying
  • Details of education, courses and internships you have attended and will attend
  • Diplomas
  • Professional experience
  • Any personality tests, references, … as deemed useful to the Controller for the purpose of this jobsite.
  • Period of prior unemployment
  • Data concerning the nature and content of your previous/current employment, and data on the termination of such previous/current employment
  • Other data with a view to fulfilling the potential position, provided by you or known to you
  • Other data necessary for the implementation or application of current legislation or application according to future changes in legislation.

This enumeration is not exhaustive.

Processing

The processing of the above data is only done for one or more of the purposes below:

  • Assessing your suitability for a position or internship that is or may become available. Your CV, motivation letter and notes made during our contacts, as well as the tests, trials and questionnaires, are processed for the purpose of going through the application process in order to recruit the candidate concerned.
  • Internal control and corporate security
  • The implementation or application of the law

Your data will only be accessible to our own staff and any external employees (e.g. judges) directly involved in the recruitment and selection processes.

VYNOVA Belgium N.V. guarantees that no unauthorised persons can have insights into the personnel file and the personal data stored therein and takes all necessary internal and external security measures to this end. Authorised persons to have insights into the personnel file and the personal data stored therein are: the employees at HR Services, the HR Business Partners, the HR Services Manager, the HR Manager and the VP Human Resources.

Passing on to third parties

You enter your data via the application form on our website, hosted by Sio Hosting BV, i.e. the hosting party. Following your agreement with this privacy statement, the relevant data are encrypted and transferred via a secure connection (SSL/TLS) to the web application ‘EasyToRecruit’, managed by HR-Technologies, acting as Processor under a Processing Agreement with VYNOVA Belgium N.V..

Your data are processed in the web application ‘EasyToRecruit’, managed by HR-Technologies, i.e. the Processor, with whom the Controller has entered into a Processing Agreement. Together, we make every effort to adequately secure your Personal Data.

Your Personal Data will not be sold, leased, distributed or otherwise made commercially available to third parties, except as described above or with your prior consent.

On rare occasions, we may be required to disclose your Personal Data pursuant to a court order or to comply with other mandatory laws or regulations.

Duration of processing

Candidates’ Personal Data will be kept for a maximum of 5 years after initial registration. After the expiry of the 5-year period, you will be contacted again to inform you whether you still wish to remain in our database. If you do not actively confirm this within 30 days, your data will be irrevocably deleted from the database.

In any case, your Personal Data will be kept in accordance with the specific legislation.

What are your rights as a candidate?

Right of access and inspection

You have the right to acquaint yourself with your Personal Data at any time, free of charge, as well as with the use we make of your Personal Data in accordance with the applicable provisions. Access to your Personal Data can be obtained by logging into the Jobsite.

Right of rectification, deletion and restriction

You are free to communicate or not communicate your Personal Data to us.

You cannot object to the processing of Personal Data necessary to support our recruitment and selection processes and the data we are required to keep and process about you by law.

You may also request to restrict the processing of your Personal Data.

For each of these activities, you may log into the Jobsite and invoke the desired functionality.

Right of opposition

You also have a right to object to the processing of your Personal Data for serious and legitimate reasons. You can invoke this right by logging into the Jobsite.

Right to transfer data

You have the right to obtain and/or transfer to other controllers your Personal Data processed by us in structured, common and machine-readable form and in accordance with the applicable provisions. All your Personal Data can be accessed after logging into the Jobsite.

Right to withdraw consent

Insofar as the processing is based on your prior consent, you have the right to withdraw that consent. This can be done by logging into the Jobsite.

Automated decisions and profiling

The processing of your Personal Data does not include profiling, nor will you be subject to automated decisions by us.

Exercise of your rights

You may exercise your rights by contacting the Controller as mentioned above.

Security and confidentiality

We, together with the Processor, have taken security measures adapted on a technical and organisational level to avoid and deal with the destruction, loss, falsification, modification, access by unauthorised persons, data leakage or other notification by mistake to third parties of collected Personal Data as well as any other unauthorised processing of this data. These security measures are described in the Processing Agreement.
